Security

Managed in accordance with British Standard 5454:2000 our Document Storage Facility in Invergordon, is a safe secure environment for your valuable business documents.

To ensure that your records are safe and secure at all times we have the following measures in place;

Colour CCTV cameras for 24 hour surveillance recording activity both inside and outside our premises.

BSEN50131 compliant intruder alarm fitted to all access points
with BT Redcare  and a BS 5839 part 1 smoke and fire alarm

All Staff vetted to British Standard 7858 – security screening of individuals employed in a security environment.

All staff are Disclosure Scotland checked and sign a confidentiality agreement before commencing employment.

Detailed documented procedures and a thorough induction process mean our staff are expert at secure document management and understand the importance of the chain of custody. 

We hold ISO 9001, the quality management standard, which is independently audited annually.

Any customers or contractors visiting site are accompanied at all times, unless using the customer private viewing room.

A visitors record book is maintained.

PREMISES - GENERAL

Our building is situated on high ground, over 1 km away from any water courses and used exclusively for Document and Data Storage.

Documents are stored a minimum of 150mm off the ground on Dexion Racking.

Temperature is held above 15 Degrees Celsius in all storage areas.

Humidity is kept below 60%. This means there is no risk of water damage or damp affecting the life of the files.

Our building provides a stable environment -. 150mm of insulated walls and ceiling, with no windows, and a solid roof insulate the premises from changes in the outside environment.

An 8 ft High Perimeter fence surrounds the entirety of the site, with a 2 ft crank with barbed wire

Doors are never left open, and lights are switched off when they are not in use.
Electric lights are positioned at least 50cm above or away from shelving to avoid localised heating and drying of documents.

We use archival-quality boxes to store documents made from acid free material. Storing documents in boxes not only reduces their exposure to light, but can also provide some protection against sudden fluctuations in humidity or temperature.

Documents are never stored on the floor or against an external wall.

Open shelving allows air to circulate further preventing the development of damp.

Each customer is provided with a dedicated section(s) of racking to protect the integrity of their records.
